Construction Project Administrator

Travel Requirements: <10% (2-4 weeks)

ICON is seeking a Construction Project Administrator to support the team as we deliver dignified, resilient 3D-printed housing. The ideal individual would have a minimum of 3+ years of project administration experience in the construction industry and should have a comprehensive understanding of the entire construction process from Pre-Construction to C/O. This individual will work as a member of the Construction Operations team and support multiple different types of projects, including residential, military, and NASA. This individual must be able to successfully collect, process and organize disparate kinds of information and must be able to liaise with numerous stakeholders both internal and external. The ability to coordinate multiple overlapping tasks essential to a successful project is essential. We are looking for a flexible, detail-oriented team player with the ability to manage multiple tasks, produce quality work, and consistently meet deadlines. Most importantly, the ideal applicant will be an enthusiastic member of a dynamic startup team, which is creating dignified, resilient housing.


  • Provide job costing assistance, including budgets, billings, A/P, A/R, Payrolls, CPR's. Serve as a liaison between Project Managers and Accounting Department

  • Assist with draw requests as necessary

  • Ensure Subcontractor compliance & control (subcontracts, billings, releases, certified payrolls, prelims, releases)

  • Ensure that all contract milestones are being met, documented, and communicated

  • Review client contracts to understand accounting requirements & protocols

  • Keep project paperwork organized, documentation and tracking, filing and scanning, RFI's, submittals, various special projects

  • Support and work hand-in-hand with Project Managers for the duration of each  project. 

  • Assist with project audits

  • Coordinate and schedule stakeholder meetings

  • Assist corporate staff with other duties on an as-needed basis


We are looking for a flexible, detail-oriented team player with the ability to manage multiple tasks, produce quality work, and consistently meet deadlines. The successful candidate will possess:

  • Excellent listening skills and strong oral and written communication skills

  • A proven track record of organization and administrative proficiency

  • The ability to identify, analyze and execute on administrative needs

  • Proficient computer skills in all Microsoft Office applications and in accounting cost management software

  • 3+ years of experience as a project administrator, preferably within the construction industry

  • Strong understanding of construction accounting a plus

  • A strong work ethic and a “can-do” attitude

  • Prior construction experience in the City of Austin a plus

  • Ability to prioritize and stay cool in a dynamic start-up environment
