Talent Acquisition Operations Specialist

ICON is looking for a Talent Acquisition Operations Specialist to own the candidate experience and coordination for all searches on ICON’s growing team. As the TA Operations Specialist at ICON, you will be responsible for coordinating and scheduling interviews, arranging candidate travel, and improving workflows throughout the candidate experience. This role is based at ICON’s Austin, TX campus and will report to the VP, Talent Acquisition on ICON’s Talent Acquisition team.

 

RESPONSIBILITIES

  • Welcome candidates to on-site interviews and manage the on-site interview experience with candidates, hiring managers, and recruiters.
  • Spearhead ICON’s candidate experience, including collecting candidate feedback and ensuring candidates have a positive interaction with the company from first contact through to the first day of work. 
  • Map and redesign ICON’s process for virtual and on-site interviews.
  • Manage and redesign process for candidate interview travel. 
  • Create and manage templates for candidate communication. 
  • Track and monitor requisition and offer activity. Redesign processes to improve timeliness and accuracy of offers and approvals.
  • Support applicant questionnaires, pre-hire tests, and background checks.
  • Support job fairs and other off-site recruiting & community events.
  • Assist with sourcing candidates as directed by the Vice President.
  • Assist with talent acquisition reporting.

 

MINIMUM QUALIFICATIONS

  • 5+ years of recruiting coordination experience.
  • Degree or certificate program in human resources, business, or related field.
  • Experience sourcing candidates.
  • Ability to operate independently.
  • Experience working directly with executive level hiring managers.
  • Experience mapping, improving, and creating new workflows and business processes. 

 

PREFERRED SKILLS AND EXPERIENCE

  • MBA preferred.
  • Experience with Google Workspace.
  • Experience with Workday.
  • Experience with process improvement methodologies, such as LEAN Six Sigma.
  • Should be comfortable walking with candidates outdoors to give tours, as needed.
